Read the following exhibit table policies below before scrolling to complete online exhibit table application.

Application orders will be processed as they are received, and payment is due within 30 days. Table information and placement details will be circulated the week of March 10, 2025.

Exhibit Table Pricing

  • $450 – (1) Corporate or Vendor Table
  • $350 – (1) Nonprofit, School, or Government Table
  • $250 – Additional Table Purchase (Flat Rate)

Payment Policy | Following successful submission of an exhibitor agreement form, an invoice will be sent to confirm payment and determine table preference. Full payment must be received within 30 days of the invoice date.  If payment is not received within 30 days, the association has the right to cancel the reservation and offer the table(s) to groups on the waitlist.

Cancellations/Reductions Policy | All cancellations must be made in writing to association staff. If notice of cancellation is made prior to Friday, February 28, 2025, a refund of 75% the total cost of the table will be issued. Please note that after February 28, 2025, NO REFUNDS WILL BE ISSUED on table space that is cancelled or reduced. Any space not occupied by the opening of the conference for which no special arrangements have been made may be reassigned by the Association without obligation to make any refund whatsoever.

Table Space & Location

Exhibitors can review the Exhibitor Diagram below and indicate their preferred booth location(s) by entering table numbers in the online agreement form. Preferences will be considered but are not guaranteed. 

Tables noted in RED have wall artwork that cannot be visually blocked by vertical displays or banners.

Staff will circulate table assignments once finalized the week of March 10, 2025.
Final table assignments will be made by staff, taking into account: installation and logistical needs, competitive product placements, and fire code and venue regulations.

Exhibitor Policies

  • The Association reserves the right to use its sole discretion in reassigning space in cases where competitive products have adjacent table/booth and to address fire code regulations.
  • Due to space restrictions and fire code regulations, no side tables provided by the vendor will be permitted. Vendors must display all items on the permitted 6ft tables provided by the Sandia Resort. Those requiring more than 6ft of table space for display must purchase an additional table for $250.
  • Exhibitors cannot block pictures on hotel walls, exits, or fire extinguishers. Tables noted in RED have wall artwork that cannot be visually blocked by vertical displays or banners.
  • For safety issues, as well as to preserve the integrity of the carpeting, paint and overall structure and its appearance, we cannot permit any taping, tacking, nailing or gluing to any interior or exterior surface of Sandia Resort & Casino’s Event/Convention Center. Streamers and glitter are also prohibited.
  • Any exhibitor interested in distributing food or beverage must be the manufacturer of that product and may only distribute “bite size” portions—not more than two (2) ounces of food or non-alcoholic beverages free of charge.
  • Security is not provided in the exhibit hall. The Federal Bar Association and Sandia Resort are not responsible for any missing or stolen items.

Registration & Program Attendance

Registration for conference programming is not included in your exhibitor table agreement. Should you wish to attend conference panels, luncheons, and/or social events – additional conference registration is required. There are several separate meal outlets available at the resort.

Shipping Information

Exhibitors are responsible for arranging all aspects of their outgoing and return shipment, including payment and scheduling a shipment pick-up with a local shipping company (UPS/FedEx/USPS). Exhibitors are responsible for paying box handling fees. The venue charges a fee for incoming/outgoing boxes based on size ($10-$100). Shipping instructions for the resort will be provided in confirmation messaging.

Internet & Power

Complimentary basic wi-fi will be available in the meeting space. Exhibitors should share electrical power needs in the online agreement form. Placement near a wall outlet is not guaranteed. If you require a hardline internet access point or guaranteed power, staff will follow-up with instructions to arrange directly with the venue.
